Using PolicyVault
Terms of Service
Last updated: October 25, 2026
1. Agreement and service
These Terms of Service apply when you access or use the PolicyVault website and insurance policy management service (the “Service”). By creating an account or using the Service, you agree to these terms. If you use the Service for an organization, you confirm that you are authorized to accept these terms on its behalf.
PolicyVault provides tools for agents to organize insurance policy information, process uploaded documents, review extracted details, and manage reminders and exports. PolicyVault is not an insurer, insurance intermediary, or source of insurance advice, and does not make underwriting, coverage, or claims decisions.
2. Accounts and access
You must provide accurate account information, keep your sign-in credentials secure, and promptly tell us if you suspect unauthorized access. You are responsible for activity carried out through your account. Do not share account access in a way that bypasses the limits or security controls of your plan.
You must be legally able to enter into these terms. The Service is intended for insurance agents and business users; it is not intended for children to use directly.
3. Your information and permissions
You retain responsibility for information and documents you submit to the Service. You confirm that you have the rights, authority, notices, and permissions required to collect and use policyholder information and to submit documents for processing. Use the Service only for legitimate business purposes and in accordance with applicable law.
You authorize PolicyVault and its service providers to process submitted information as needed to provide and secure the Service. Uploaded PDFs submitted for extraction are processed by Google Gemini; if that extraction fails and the PDF contains readable text, extracted text may be sent to Groq as a fallback. Supabase provides authentication, database, and file storage; other providers may support communications and operations. See the Privacy Policy linked below for more information about data handling and providers.
4. AI extraction and your review
Document extraction uses automated systems and can omit, misread, or incorrectly interpret information. Extracted details are suggestions, not verified records or professional advice. You must review and correct extracted information before relying on it, sharing it, or using it to make decisions. You remain responsible for policy records, reminders, exports, and communications generated using the Service.
5. Trials, plans, and payments
A trial, when offered, is subject to the duration, feature access, and usage limits shown when you sign up. Paid plans, features, and usage limits are described on the website or communicated to you when you purchase or upgrade. We may require payment confirmation and account activation before paid features become available. Unless we expressly tell you otherwise, a displayed plan price applies to the stated billing period and does not by itself authorize recurring charges.
You are responsible for applicable taxes, payment details, and any charges disclosed before purchase. If a plan expires, is cancelled, or reaches a usage limit, access to some features may be restricted. Data is handled according to the Privacy Policy and applicable law.
6. Acceptable use
Do not misuse the Service, attempt to access another user’s account or data, interfere with its operation, upload malicious content, reverse engineer or probe systems without authorization, or use the Service in violation of law or another person’s rights. We may investigate suspected misuse and take proportionate steps to protect users and the Service.
7. Service availability and changes
The Service is hosted using third-party providers, including Vercel and Supabase. It may be unavailable or limited because of maintenance, technical issues, or provider outages. We do not promise uninterrupted availability or a particular uptime level, and do not offer a service-level agreement unless we separately agree to one in writing.
We may update, modify, or discontinue parts of the Service. We will take reasonable steps to communicate material changes that affect active users, where practicable.
8. Intellectual property and feedback
PolicyVault and its licensors retain rights in the Service, including its software, branding, and design. These terms grant you a limited, non-exclusive, non-transferable right to use the Service for your internal business purposes while your account is active and in compliance with these terms. You may provide feedback voluntarily; we may use it to improve the Service without obligation to you.
9. Suspension and termination
You may stop using the Service at any time and may contact us to request account closure. We may suspend or terminate access if reasonably necessary to address security risks, unlawful activity, material breach of these terms, or circumstances that threaten the Service or its users. Where practicable, we will provide notice and an opportunity to address the issue. Data handling after account closure is described in the Privacy Policy and may be subject to provider backup and retention cycles.
10. Disclaimers and liability
To the extent permitted by applicable law, the Service is provided “as is” and “as available.” We do not warrant that it will be uninterrupted, error-free, or that automated extraction will be accurate. You should maintain appropriate records and independently verify important policy information.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited. To the extent permitted by law, PolicyVault is not responsible for indirect or consequential loss arising from use of the Service, including reliance on unverified extracted information or missed reminders. These terms do not limit any rights you may have under applicable consumer or data-protection law.
11. Updates and contact
We may update these terms as the Service or applicable requirements change. The date below indicates when this version was last updated. Continued use after an update takes effect means you accept the revised terms, to the extent permitted by law.
